AI note taker for in-person meetings, no bot, no device

Most AI note takers are bots. They join a Zoom, Meet or Teams call, listen, and write the summary. That is useful until the meeting happens in a room, which is where the bot has nowhere to sit. AI Transcribe is built for that meeting: the iPhone on the table is the microphone, and the notes come from what was actually said.

Short answer: Open the app, tap Record, put the phone in the middle of the table. When the meeting ends, the transcript arrives with speaker labels and timestamps. Tap Create meeting notes for the summary and decisions, Create a todo list for the action items, Extract dates for the deadlines. Export as text or PDF, or paste into Slack, Notion or an email. Nothing joins a call. Nothing needs charging.

The bots are excellent at what they were built for. A weekly team call with a shared workspace is their home, and their mobile apps can record in person as a side mode. A client lunch, a site walk, a one-to-one in a meeting room, a workshop with a whiteboard, a lecture, an interview across a table: those are what a phone app is built around.

How it works

  1. Record. Tap Record. The Live Activity puts the timer on the lock screen so the phone can sit face down if that is more comfortable for the room. Recordings run up to two hours and resume after an interruption such as an incoming call.
  2. Transcribe. The transcript comes back in minutes with timestamps and, in most languages, speaker labels, in any of 32 languages detected automatically. Rename "Speaker A" once and the name applies everywhere.
  3. Notes. Run the tools you need. Create meeting notes is the structured summary. Create a todo list is the action register with owners. Extract dates is the deadlines. Summarize, Highlight key ideas, Translate and a dozen more are there for the rest.
  4. Ask. The chat sees the whole transcript. "What did Priya commit to?" gets an answer with the timestamp.
  5. Share. Text or PDF through the share sheet, straight into whatever your team uses.

The recording itself

  • Put the phone flat, screen up, in the middle of the table. The microphones are on the bottom edge.
  • Silence notifications. Do Not Disturb is one swipe.
  • Say the names at the start. "Around the table: Dana, Priya, Tom." The transcript then carries its own key.
  • For a very long table, two phones and two transcripts beat one phone straining.
  • Ask the room. "I am recording this for the notes, is that okay with everyone?" takes four seconds and is the safe habit wherever you are. Recording laws vary by country and state; check yours.

What you get afterwards

A 38-minute team sync came back as 5,900 words with four speakers. Create meeting notes turned it into half a page: three decisions, four action items with owners, one open question, two dates. Frequently asked questions

Does AI Transcribe join Zoom or Teams calls? No, and that is on purpose. Record the call on the platform if you need it, then import the file. For meetings in a room, the phone is the recorder.

How far away can people be? A normal meeting room table is within range. For a long table, move the phone toward the quietest speaker or add a second phone and transcribe both.

Does it work in languages other than English? Yes. 32 languages with automatic detection and speaker labels in most of them. Notes can be produced in the meeting's language or translated into any of 46.

Do I need a subscription? The app is free to download with a free trial of the whole workflow. The Pro subscription, weekly or annual, is for regular use and includes every AI tool.

Is my recording private? Audio is processed in the cloud to produce the transcript, and the app has no account or calendar connection. Check your organisation's recording policy before recording sensitive conversations.
