Dictation or transcription on a Mac?

These two get searched for interchangeably and they are not the same tool. Use Dictation to type as you speak. If you already have a recording, you need a transcription tool.

The difference in one line: dictation turns your voice into text as you speak. Transcription turns a recording that already exists into text.

Apple's dictation

Built into macOS. Turn it on under System Settings, then Keyboard, then Dictation, and assign a shortcut or use the microphone key. Put the cursor where text should go, start dictating, and words appear as you talk.

Worth knowing:

• It can run on device for general text dictation, and the Keyboard settings panel tells you whether it is doing so. Apple notes this can vary by context, so read the panel rather than assuming.
• A session ends after about 30 seconds of silence, so it is built for composing, not for leaving running.
• It types into whatever app has focus. There is no file, no transcript, no history.
• It is free, and already installed.

If what you want is to write an email by talking, this is the answer and there is nothing to buy.

What dictation cannot do

It cannot open a recording. There is no way to point Apple's dictation at an audio file and get text back, and no setting that enables it. Playing a recording into your own microphone and letting dictation listen produces a poor result, because you have added a room and a speaker to audio that was already imperfect.

It also has no concept of speakers. Everything becomes one stream of text with no indication of who was talking. A microphone in a room will pick up other people, and dictation will type some of it, but you get no attribution and no recording to go back to.

Transcription

The other job: a file goes in, text comes out. That file might be a meeting you recorded, a lecture, an interview, a voice memo or the audio from a video.

What you get that dictation does not give you:

• Speaker separation, so a two-person interview reads as a conversation.
• Timestamps, so you can jump back to the moment.
• A document, which can be exported, searched and kept.
• Work afterwards, like a summary or action items pulled from the text.

Which do you need

• Writing by voice, into a document or an email: Apple Dictation, already on the Mac at no extra cost.
• A recording you already have: transcription.
• A meeting happening right now: record it, then transcribe. Dictation cannot hear the other side of a call, because it listens to your microphone.

Common questions

Can I use dictation to transcribe a meeting? It will type what the microphone hears, which in a room includes other people, but with no speaker labels, no recording kept, and a stop after about 30 seconds of silence. Record the meeting instead.

Is Apple's dictation accurate? For clear speech into a good microphone, yes, and it has the advantage of running on device. On difficult audio, dedicated transcription engines are ahead.

Does dictation work offline? It can, when the Keyboard settings show it is processing on device. Cloud transcription cannot, ours included.
